Overview: 

Our CEO is seeking a dedicated Executive Assistant to manage significant administrative tasks and support the fast-paced operations of a rapidly expanding company (400% annual growth). This role is crucial for relieving the CEO of administrative burdens and ensuring smooth day-to-day management of his responsibilities, allowing him to focus on strategic initiatives and growth acceleration.

Key Responsibilities:
  • Agenda Management: Organize and manage the CEO's calendar, ensuring efficient scheduling of meetings, events, and deadlines.
  • Task Coordination: Track and follow up on tasks and projects assigned by the CEO to ensure timely and quality completion by the CEO and the team.
  • Meeting Support: Prepare and manage materials for meetings, including agendas, briefing documents, and minutes.
  • Communication Management: Act as the point of contact between the CEO and internal/external stakeholders, handling correspondence and ensuring prompt responses.
  • Report and Presentation Preparation: Compile, draft, and polish reports and presentations for Board of Directors (BOD) meetings and other high-level engagements.
  • Logistics Coordination: Manage the logistics of meetings, events, and travel arrangements for the CEO.
  • Administrative Efficiency: Handle general administrative duties such as organizing files, maintaining records, and streamlining administrative processes or office supplies.
Qualifications:
  • Proven experience in an Executive Assistant or similar administrative role.
  • Exceptional organizational skills and attention to detail.
  • Ability to maintain composure and efficiency in a high-pressure, fast-growing environment. 
  • Strong problem-solving skills and a proactive approach to challenges.
  • Advanced proficiency in preparing professional reports and presentations.
  • Excellent communication and interpersonal skills.
  • Proficiency with office productivity tools (e.g., MS Office Suite, project management software).
  • Demonstrated ability to handle confidential information with discretion.
